Project Assistant 2-3 h / Woche



Job
Title: Project Assistant




Core
Role:




As a key member of our consulting team, this
position will provide administrative, project coordination and logistics
support to help advance business activities across the company and client teams. This
position will serve in support of multiple project teams, as well as project
coordination for general business activities in the home office.



At the beginning, we estimate this to
be 2-3 hours / week. Our intention is to increase the hours over time and we
would like a person who is interested in longer term position





Responsibilities:



Administrative Support:


  • Document/template
    design, preparation of documents and presentations for specific meetings
    and events

  • Provide
    general coordination and support to staff and project teams, including
    scheduling group meetings and response tracking

  • Provide
    internet research on companies, pipelines, products, therapeutic areas,
    etc.

  • Collecting
    business mail during vacation period





Project Support:


  • Provide
    general coordination and logistics support to staff including updates
    to project calendars, updates to status reports, document templates, etc.

  • Support
    project management staff in coordination of hotel sourcing and meeting logistics
    for client rehearsals, including liaising with outside vendors as needed.

  • Request
    translations from translation agency





Sales and Marketing Support:


  • Using
    company templates, generate, edit and QC PowerPoint presentations. Strong
    understanding of graphics, fonts, layout and an eye for consistency and
    style.

  • Provide
    research and support to staff for RFPs, proposals, trade shows, etc.

  • Update
    client database on timely basis, work with project management staff to
    maintain records and generate reports.





Skills:


  • Ability
    to communicate professionally and effectively with senior executives



  • Must be able to work under pressure at
    times to handle a wide variety of activities and confidential matters with
    discretion.



  • Maturity,
    polish and good judgment in a variety of situations, with strong written
    and verbal communication, administrative, and organizational skills, and
    the ability to maintain a realistic balance among multiple priorities.

  • Intermediate
    knowledge of Microsoft Office Suite; strong capabilities in Word a must;
    experience working on Windows platform a plus.

  • Ability
    to manage multiple tasks/deadlines simultaneously

  • Attention
    to detail

  • Home
    based as well as coming to meet in Erlenbach on a defined schedule

  • English,
    German, (French / Italian a plus)





Education
/ Experience:


Bachelor’s degree and work experience
in project coordination or administrative support is required.



Qualities:


This position calls for flexibility,
excellent interpersonal skills and the ability to work well with all levels of
internal management and staff, as well as with outside clients and vendors.
Requires a highly organized team player with a service mentality. A deadline-driven
approach with the ability to multitask is important. Requires excellent written
and oral communications skills and a professional demeanor.
